Switching Feels Risky — It Doesn't Have to Be
Many owners stay with billing software they dislike because switching sounds risky. What if billing stops on a busy night? What about customer credit? What about GST for the month?
Most of that risk comes from switching without a plan. With a clear sequence, you can move to a new POS without losing data or a single service. If you are still deciding whether to switch, read signs it's time to upgrade your restaurant POS first.
Step 1: Export Everything From the Old System
Before you change anything, export and save:
- •Menu with prices, categories and taxes
- •Customer list with phone numbers and credit balances
- •Current stock levels
- •Vendor list and amounts owed
- •Sales and GST reports for the current and previous financial year
Step 2: Pick the Go-Live Date
Choose:
- •The first day of a month, so GST periods and reports separate cleanly
- •A weekday, not a weekend
- •Away from festivals and peak season
Step 3: Set Up the Menu
This is the biggest task. Clean up as you go:
- •Remove dishes you no longer sell
- •Group items into clear categories
- •Add variants (half/full, sizes) and modifiers (extra cheese, spice level)
- •Set the correct tax on each item
- •Add combos
Step 4: Configure Taxes, Printers and Receipts
- •GSTIN and tax rates
- •Receipt layout, logo and footer
- •Receipt and KOT printers, and which kitchen station prints which items
- •Payment modes — cash, UPI, card, credit
Step 5: Add Opening Balances
- •Customer credit — enter each customer's outstanding balance as an opening balance
- •Opening stock — count and enter stock on hand on go-live day
- •Vendor dues — note what you owe so payments are not missed
Step 6: Create Staff Logins and Roles
Give each staff member their own login with permissions that match their role. Cashiers bill; managers approve voids and discounts; owners see reports. See role-based access control.
Step 7: Train and Test
Run practice orders with staff before go-live: dine-in, takeaway, split bills, refunds and shift closing. If possible, use the new POS on one counter or for slow shifts first, while the old system is still available.
Step 8: Go Live and Check Daily
On go-live day:
- •Keep the owner or manager at the counter during the first rush
- •Close the day properly and compare the day report with cash, UPI and card totals
- •Note any issues and fix settings the same day
Common Mistakes
- •Switching in the middle of a month or during a festival
- •Copying a cluttered old menu as it is
- •Forgetting customer credit balances
- •Skipping test prints for kitchen printers
- •Not giving staff their own logins
Key Takeaways
- •Export all data from the old POS before you start.
- •Go live at the start of a month, on a quiet weekday.
- •Use the switch to clean up your menu, taxes and printers.
- •Enter customer credit, opening stock and vendor dues on day one.
- •Train staff, test with real orders and compare reports daily in the first week.

Frequently Asked Questions
For a single outlet, setup usually takes a few days: menu, taxes, printers and staff logins. Plan a week of parallel running or testing before you fully switch, and choose a quiet day for go-live.
